LOCATION 

This position is hybrid (in-office a minimum of 3 days per week) from our Redmond, Washington, office. Local candidates only, please. 

JOB SUMMARY 

As the Legal Support Specialist, you will provide vital support to the legal, finance, and executive teams by managing document workflows, ensuring adherence to corporate policies, and assisting with financial and administrative tasks. You are detail-oriented, organized, and proficient with technology, including expense management and document management systems. You will also handle sensitive legal and financial information with confidentiality and discretion, working independently to ensure timely and effective execution of tasks.  

WHAT YOU WILL DO 

  • Maintain and organize legal documents, contracts, and agreements in compliance with company policies.  

  • Route documents for necessary approvals and signatures, ensuring timely execution.  

  • Manage the executive travel reimbursement process, including receipt submission and approval tracking.  

  • Review and audit travel transactions to ensure adherence to corporate policies.  

  • Provide guidance to employees on travel and expense policies, flagging any non-compliant transactions.  

  • Assist with back-office operational tasks related to legal and executive functions.  

  • Ensure compliance with corporate governance policies related to financial transactions and document retention.  

  • Support internal audits and reviews by gathering necessary documentation and maintaining accurate records.  

  • Identify opportunities for streamlining document management and compliance workflows.  

  • Maintain accurate logs and reports on approvals, compliance reviews, and outstanding items.  

  • Act as a notary. 

  • Engage in the RFP process by tracking and logging responses and maintain standardized answers for similar requests. 

  • Manage apostille requests, including potential monthly travel to Olympia, Washington, for urgent documentation.  

  • Manage incoming accounting mail, ensuring proper scanning, distribution, and filing.  

WHAT WE REQUIRE 

  • 5+ years of experience in legal, administrative, compliance, and back-office support.   

  • 2+ years of experience as a paralegal highly desired.  

  • Strong familiarity with corporate policies, document management, and approval workflows, with experience handling legal documents, contracts, or compliance-related tasks being a plus.  

  • Prior experience with expense reporting, travel reimbursements, or financial transaction reviews is preferred.  

  • Proficient in Microsoft Office (Excel, Word, Outlook) and experienced with expense management systems (e.g., Concur, Expensify) and document management platforms (e.g., DocuSign, SharePoint).  

  • Highly organized and detail-oriented, with the ability to manage sensitive legal and financial information with confidentiality and discretion.  

  • Self-motivated and proactive, capable of working independently in a remote environment while ensuring timely execution of tasks.  

  • Excellent communication skills, with the ability to interact professionally with executives, legal teams, and employees.    

EDUCATION  

  • Paralegal certification highly preferred.

  • Associate’s degree or equivalent work experience.

COMPENSATION & BENEFITS  

  • Compensation for this full-time job is assigned an annual salary band of $67,000 - $104,100 with a target starting salary between $78,000 - $85,000, and potential for an annual bonus. The specific salary offered to a candidate may be influenced by various factors, including but not limited to the candidate’s relevant experience, education, or location.
